This is a full-time (37.5 hours/week) position. The Executive Assistant supports the President and Dean, and the Chief Operating Officer. In addition to traditional clerical support, this person develops and maintains effective working relationships with CDSP staff, faculty, students, members of the Board of Trustees, significant donors, key partners at other Graduate Theological Union schools, and other community members. The Executive Assistant represents CDSP to all who come in contact with the Executive Office telephonically and socially and must present a professional and confident presence at all times.

Essential Duties and Responsibilities

Support for the President and Dean (“P&D”) and Chief Operating Officer (“COO”)

  • Manage general office duties such as answering phones, filing, copying, maintaining files, etc.
  • Manage travel arrangements for P&D and COO
  • Handle daily calendaring for P&D and COO
  • Process correspondence and communications on behalf of and for P&D and COO
  • Oversee all Human Resources and Personnel issues for CDSP, including the onboarding of new employees, benefits, and yearly reviews
  • Coordinate the planning and execution of Convocation and Commencement
  • Be the administrative support to, and main contact for, the CDSP Board of Trustees
    • Work with Board committees in preparation for Board meetings
    • Set up and attend committee meetings, taking minutes and preparing Board packets and resolutions for meetings
    • Work with the Trustee Committee to update bylaws and work on recruitment
    • Attend Board Meetings, taking the roll and minutes for the meeting

General Administrative

  • Supervise Part-Time Executive Office Assistant in
    • Scheduling and coordinating logistics for meetings, parties, and events related to Executive Office, finding and coordinating key volunteers, and coordinating all donor events
    • Manage travel arrangements related to support areas listed above
    • Request payment for invoices and credit card reimbursement related to support areas listed above
  • Support budget creation, monitoring and review

Minimum Qualifications

  • A minimum of ten years’ experience assisting senior level executives with a proven ability to provide administrative support.
  • Proven interpersonal skills including good judgment, patience, diplomacy, and a hospitable and cooperative manner.
  • Ability to carefully handle sensitive and confidential information concerning the school and the president’s role within the organization, and to act with discretion in all matters.
  • High degree of attention to detail with exceptional organizational skills
  • Ability to prioritize, a self-starter who can manage multiple tasks efficiently
  • Aptitude for working well as a member of a team, relating collegially, cooperatively and effectively.
  • Excellent written skills with ability to write reports, correspondence and take accurate minutes.
  • Good oral communication skills with ability to quickly organize and share thoughts and to understand communication from others.
  • Demonstrated experience in event planning and coordination.
  • Ability to meet designated deadlines.
  • Possess a high degree of proficiency with MS Office products including Word, Excel, and Outlook.
  • Available to work some evenings and weekends for Board and other executive meetings, with Supervisor’s approval .
  • Experience in, or aptitude for, gaining proficiency in Raisers’ Edge, Intacct, and a fluidity with software in general.

Desirable Skills

  • Familiarity and comfort with budgets is an advantage.
  • Familiarity with The Episcopal Church is an asset.
  • Familiarity with higher education and non-profit organizations is an asset.
  • As CDSP is a church-related seminary, it is extremely helpful if the Executive Assistant has an interest in, and concern for, the church and its ministry.
